Health & Safety Policy
Organisation: West Oxfordshire Performing Arts Foundation (WOXPAF) & Oxfordshire Festival of Speech, Drama & Musical Theatre (OFSDMT)
1. PURPOSE
This policy outlines the commitment of WOXPAF and OFSDMT to ensure the health, safety, and welfare of all participants, staff, volunteers, and visitors involved in our activities and events.
2. SCOPE
This policy applies to all venues, events, workshops, rehearsals, and performances organised by WOXPAF and OFSDMT, including staff, volunteers, contractors, performers, and audience members.
3. RESPONSIBILITIES
The Board of Trustees holds overall responsibility for health and safety. The Chair oversees implementation. All staff and volunteers are responsible for following safety procedures and reporting hazards.
4. RISK ASSESSMENTS
Risk assessments will be conducted for all venues and activities. These will identify potential hazards, assess risks, and outline control measures. Assessments will be reviewed annually or after any incident.
5. EMERGENCY PROCEDURES
Each venue will have clear emergency evacuation procedures. All staff and volunteers will be briefed on fire exits, assembly points, and emergency contacts. Emergency plans will be displayed at all venues.
6. TRAINING AND INDUCTION
All staff and volunteers will receive a health and safety induction. Additional training will be required for roles involving supervision, first aid, or technical equipment.
7. INCIDENT REPORTING
All accidents, injuries, or near misses must be reported to the designated Health and Safety Officer. An incident log will be maintained and reviewed regularly to identify trends and improve safety.
8. FIRST AID
Each venue will have a designated first aid point and a qualified first aider present during events. First aid kits will be checked regularly and restocked as needed.
9. VENUE SAFETY AND ACCESSIBILITY
All venues will be inspected for safety and accessibility. This includes ensuring clear signage, unobstructed exits, safe electrical equipment, and accessible facilities for people with disabilities.
10. NAMED ROLES
The designated Health and Safety Officer is responsible for overseeing compliance and responding to incidents. Their contact details will be shared with all staff and volunteers.
12. CONTRACTOR SAFETY
All contractors must comply with WOXPAF and OFSDMT health and safety standards. Contracts will include clauses requiring adherence to safety procedures.
13. MENTAL HEALTH AND WELLBEING
WOXPAF and OFSDMT recognise the importance of mental health. Support resources and signposting will be provided to staff, volunteers, and participants.
14. MONITORING AND AUDITS
Health and safety compliance will be monitored through regular audits, spot checks, and feedback mechanisms.
10. POLICY REVIEW
This policy will be reviewed annually by the Board of Trustees or following any significant incident or change in legislation. Updates will be communicated to all relevant parties.
