Volunteer Policy
Organisation: West Oxfordshire Performing Arts Foundation (WOXPAF) & Oxfordshire Festival of Speech, Drama & Musical Theatre (OFSDMT)
1. PURPOSE
This policy outlines the principles and procedures for recruiting, supporting, and managing volunteers at WOXPAF and OFSDMT. It ensures that volunteers are valued, treated fairly, and provided with a safe and rewarding experience.
2. SCOPE
This policy applies to all individuals who volunteer their time and skills to support the activities of WOXPAF and OFSDMT, including trustees, event stewards, workshop assistants, technical support, and administrative helpers.
3. RECRUITMENT
Volunteers are recruited based on the needs of the organisation and the suitability of the applicant. We welcome volunteers from all backgrounds and aim to ensure equal opportunities in our recruitment process. All volunteers must complete a registration form and may be asked to provide references.
4. INDUCTION AND TRAINING
All volunteers will receive an induction that includes an overview of the organisation, their role, health and safety, safeguarding, and relevant policies. Role-specific training will be provided as needed to ensure volunteers are confident and competent in their duties.
5. ROLES AND RESPONSIBILITIES
Volunteers will be provided with a clear role description outlining their tasks and responsibilities. They are expected to carry out their duties reliably, follow instructions, and uphold the values of WOXPAF and OFSDMT.
6. SUPERVISION AND SUPPORT
Each volunteer will have a named point of contact for support and supervision. Regular check-ins will be offered to discuss progress, address concerns, and provide feedback.
7. CONDUCT AND SAFEGUARDING
Volunteers are expected to behave professionally and respectfully at all times. They must adhere to the safeguarding policy, especially when working with children or vulnerable adults. Where appropriate, volunteers may be required to undergo a DBS check.
8. RECOGNITION
WOXPAF and OFSDMT value the contributions of volunteers and will recognise their efforts through thank-you events, certificates, and public acknowledgements where appropriate.
9. PROBLEM RESOLUTION
If a volunteer has a concern or complaint, they should raise it with their supervisor. Issues will be addressed promptly and fairly. If necessary, the matter may be escalated to the Chair or Board of Trustees.
10. EQUALITY AND DIVERSITY
WOXPAF and OFSDMT are committed to promoting equality, diversity, and inclusion. We welcome volunteers from all backgrounds and ensure fair treatment regardless of age, disability, gender, race, religion, or sexual orientation.
11. VOLUNTEER AGREEMENT
All volunteers will be provided with a volunteer agreement outlining mutual expectations, responsibilities, and organisational support.
12. DATA PROTECTION
Volunteer data will be handled in accordance with the UK GDPR and Data Protection Act 2018. Personal information will be stored securely and used only for relevant organisational purposes.
13. EXIT PROCESS
Volunteers may step down at any time. An exit discussion may be offered to gather feedback and ensure a smooth transition.
14. INSURANCE
Volunteers are covered under the organisation’s insurance policy while performing their duties.
15. POLICY REVIEW
This policy will be reviewed every two years or sooner if required to ensure it remains relevant and effective.
